AI USAGE POLICY

At Popcorn Learning Agency, we occasionally use artificial intelligence (“AI”) tools to support the design and development of our learning solutions. These tools may be applied to a range of tasks, such as drafting text, generating images, producing audio/voiceover, or analysing meeting transcripts.

IN SHORT:

• We sometimes use AI tools, but carefully and with human oversight.

• You’ll own the final deliverables.

• We won’t put your confidential information into AI without your permission.

• If you don’t want AI used, just let us know.

• The terms of each AI tool sit with the provider, not with us.

The specific tools used will vary depending on the nature of the project, creative direction, and budget. Examples of AI tools we may use include:

Each AI provider operates under its own terms and conditions, which may change from time to time. Customers are encouraged to review these terms directly via the links above.

CONFIDENTIALITY AND DATA PROTECTION

We will not knowingly input your confidential information or personal data into any AI tool unless this has been expressly agreed with you in writing. Where AI is used, we ensure that outputs are reviewed and refined by our team before being incorporated into deliverables.

OWNERSHIP OF DELIVERABLES

All final deliverables provided to you as part of a project will be owned by you in accordance with our contract, regardless of whether AI tools were used in their creation. We take responsibility for ensuring that outputs delivered to you are suitable for use and free from third-party ownership claims, subject to the terms of our agreement.

TRANSPARENCY AND CONSENT

If your organisation prohibits or restricts the use of AI in project delivery, please notify us before work begins. Unless we have agreed otherwise in writing, you acknowledge that AI tools may be used as part of the development process.

LIABILITY

While AI tools can enhance efficiency and creativity, their outputs are not guaranteed to be accurate, complete, or free from error. Popcorn Learning Agency supervises and checks the quality of AI within our projects, but we shall not be liable for any issues arising directly from the use of third-party AI tools, beyond what is expressly set out in our agreement with you.
